The meeting was called to order at 6:04 pm by President, Janet Lee.
Review and approve minutes from 18 Nov 2024 meeting
Motion by Linda Poor, Second by Roshan Shamdansi, approved and accepted by all.
Financial Report
No significant change to profit/loss statement. Four more HOA member dues payments received electronically. However, there are more physical checks in the mailbox that will need to be applied. Current net income is $4,415.40. Checking and savings account balances total $27,873.58. Nathan reviewed the aging summary report to include current statuses of significantly overdue accounts. Nathan sent all overdue statements to Janet and the attorney in order to start the collection process. Janet will create and mail collection letters.
Nathan will reimburse DeeDee and Linda for expenses to include pressure washing of the guard house, paver, and roof cleaning. DeeDee interjected that we need to purchase bulbs and extension cords for the front entrance area as previous sets have been stolen. Janet will go to Home Depot to ask if they would be willing to donate the lights and bulbs since we are a non-profit. DeeDee does not plan to purchase the items until next year so we have time. Motion to approve financial report by Linda Poor, second by DeeDee Jarman. All in favor, none opposed.
Board Reports
Architectural Review Board (ARB) and Neighborhood Violations:
DeeDee Jarman presented the ARB report to include a request from a resident on Swan Island to redo their brick mailbox. The resident will complete the requisite online form. Another resident asked about the HOA’s policy on loose leaves and raking them to the curb. We have no established policy but aesthetics and leaves blowing into other resident’s yards were cited as concerns by ARB. No follow-up from the resident.
Neighborhood Violations:
● Concerns about a mailbox tilted toward the street and obsessive dog barking was brought forward by a resident on Burnside.
● A concerned resident called the police and filed a report on a neighbor on Burnside who allows teenagers to play basketball, blast music, and scream expletives outside after midnight. Police responded but were ineffective as the teenagers continued outside for another 45 minutes after police left. The HOA will send a letter concerning the noise.
Security
Roshan asked about winterization of the guard house and voiced concerns about insulation of the pipes and irrigation system before the temperature drops. Questions arose over whether the irrigation system is currently being used to water the grass. DeeDee recommended that if we are not using the irrigation system to water the grass, it should be winterized as well.
Roshan misplaced the paper with the guardhouse codes and asked board members to email new 4-digit codes to him for programming. The guard house door was open the last time Linda went to retrieve greenery. Roshan explained how to open and secure the door going forward given the new door lock and tight fit on the frame.
Hospitality
Linda has not issued any baskets since the last meeting. Nathan cites two new residents and will provide their names once he obtains them.
Communication
Kudos to Linda, nice social post on FaceBook (77 likes and 39 comments) as a result of beautiful holiday decorations.
Minutes from the last board meeting have been uploaded to the website.
Donald’s goal is to fully optimize our email list. Free account limit of 500 sends per month. Sufficient enough for the number of residents in our community.
Donald recommends sending out a goodie bag with the new hi-res logo to every homeowner of the community as a refresh with a highlight card.
Grounds and Maintenance
Linda thanked DeeDee for helping to install the Christmas decorations.
An estimate and rendering are forthcoming from Power of One Power (Pat Howard) for grounds maintenance.
Linda spoke with Cedar Falls Baptist Church representative, Gary Bullard concerning installation of crush-n-run at first turn-in prior to the gate. Gary has indicated that the crush-n-run will indeed be installed. DeeDee asked if the church would be willing to contribute to the softball entrance as part of the beautification project. Gary would like to see the rendering before committing to support the project and will have to get final approval from the church.
Linda has additional interest in next year’s grounds maintenance contract and the beautification project (Rob). Linda will ask about Rob’s irrigation license.
Old Business
No update on re-writing of covenants. Janet will email something out before the holidays.
Election - Voting remains open through December 18
184 HOA members currently in good standing, 25% of the association members or 46 votes are needed to consider round two of the election a success. 43 valid votes are in as of the meeting. Nathan has received additional votes by mail. Janet noted that 5 invalid votes were received including the KG clubhouse.
